Before you begin
Prepare a spreadsheet the connected Google account can access. Use clear column titles and harmless test rows. Start with editing and adding rows switched off.1
Connect Google
Open the agent’s Connect page and select Google Sheets → Connect. Sign in to the intended Google account and approve the requested file access. Return to Jaaxis and open Manage.
2
Choose a spreadsheet
Select Add a tool, then choose the file in Choose a spreadsheet. The tool editor opens for the selected file.
3
Identify the worksheet and header row
Enter a Name and Description explaining when the agent should use this tool. Under Spreadsheet, select Worksheet and set Which row has your column titles to a row from 1 to 10000.
4
Link fields and limit editing
Under What to collect, add the fields the conversation needs. In each field card, select its Column. A column can only be linked to one field. Turn on Agent can edit only for columns the agent should change. Enable Allow the agent to add new rows only when creating records is intended.
5
Save and test
Select Save, confirm the tool appears in the list, and check Enable tool. Test a lookup with non-sensitive test data. If editing or adding rows is enabled, test those separately and inspect the actual spreadsheet for the intended result.
